Job Summary

The Front Desk Receptionist will be the first point of contact for prospective students, parents, and visitors at our Civil Services Institute. This role requires excellent communication skills, a professional demeanor, and the ability to manage administrative tasks efficiently. The ideal candidate will create a welcoming atmosphere, support inquiries about courses and admissions, and manage essential front desk operations.

Key Responsibilities

• Greeting and Assistance : Greet all visitors, students, and staff with a friendly, professional attitude, ensuring they feel welcomed and supported.
• Visitor Management : Register and guide visitors, answer inquiries, and provide relevant information about the institute, courses, and facilities.
• Communication : Answer and route incoming calls, handle email inquiries, and respond to messages on social media platforms as necessary.
• Appointment Scheduling : Manage appointments for prospective students, parents, and other stakeholders, coordinating with faculty and management as needed.
• Information Distribution : Provide informational brochures, program schedules, and promotional materials about civil services courses and events.
• Data Entry and Record Maintenance : Enter visitor details into the database, maintain accurate records of inquiries, and update student data as required.
• Coordination with Departments : Liaise with the admissions and administrative teams to provide up-to-date information and direct students appropriately.
• Administrative Support : Assist with daily office tasks, including filing, photocopying, and maintaining office supplies.

Required Skills and Qualifications

• Education : Graduation a diploma or certification in office administration is a plus.
• Experience : Previous experience in a receptionist or front desk role, ideally in an educational or service-oriented environment.
• Skills :
• Excellent verbal and written communication skills
• Proficient in MS Office Suite (Word, Excel, Outlook)
• Knowledge of basic office equipment (phones, photocopiers, etc.)
• Personal Qualities :
• Friendly and approachable demeanor
• Strong organizational and multitasking abilities
• Punctuality and reliability
• Ability to work independently and as part of a team
