We are seeking a dynamic and professional Front Desk Executive with expertise in managing travel arrangements. The ideal candidate will be the first point of contact for visitors and employees, ensuring smooth operations of the front desk while handling travel-related tasks efficiently.
Key Responsibilities:
Front Desk Management:
• Greet and welcome visitors, employees, and clients professionally.
• Handle incoming calls, emails, and correspondence; direct them to the appropriate departments or individuals.
• Manage the reception area to ensure it remains tidy and presentable.
• Provide administrative support to various departments as needed.
• Monitor and maintain office supplies inventory.
Travel Desk Management:
• Coordinate and manage all travel arrangements for employees, including booking flights, accommodations, and transportation.
• Maintain relationships with travel agencies, hotels, and transport service providers to ensure cost-efficient and quality services.
• Process travel requests in compliance with company policies.
• Prepare itineraries and share travel plans with employees.
• Handle travel-related documentation, such as visas, permits, and insurance.
• Resolve any travel-related issues or emergencies promptly.
Additional Responsibilities:
• Maintain a log of visitors and oversee visitor badges and access.
• Coordinate with facilities management for any repairs or maintenance at the front desk area.
• Support in organizing meetings, events, or conferences.
• Ensure compliance with company security, health, and safety policies.
Qualifications:
• Bachelor's degree or equivalent work experience in a similar role.
• Proven experience as a front desk executive or travel desk coordinator.
• Excellent communication and interpersonal skills.
• Strong organizational and multitasking abilities.
• Proficiency in office software (e.g., MS Office) and familiarity with travel management systems.
• Ability to handle sensitive information with confidentiality.
