We are currently seeking a personable and efficient individual to join our team as a Front Desk Executive for our esteemed student visa consultancy firm. As the first point of contact for our clients, you will play a crucial role in providing exceptional customer service and ensuring a positive experience for those seeking our consultancy services. Your responsibilities will involve managing front desk operations, addressing inquiries, and facilitating the smooth flow of communication within the organization.
Responsibilities:
• Client Reception:
• Greet clients and visitors in a friendly and professional manner.
• Create a welcoming environment and provide initial assistance to clients arriving at the consultancy office.
• Inquiry Handling:
• Answer incoming calls, emails, and in-person inquiries promptly and professionally.
• Direct inquiries to the appropriate team members or departments for further assistance.
• Appointment Scheduling:
• Schedule appointments for client consultations with Country Counselors and other relevant staff members.
• Maintain an organized and efficient appointment calendar.
• Document Collection:
• Collect and verify necessary documents from clients for visa application processes.
• Ensure that all required paperwork is complete and accurately filed.
• Information Dissemination:
• Provide accurate and up-to-date information to clients regarding our services, visa application procedures, and other relevant details.
• Distribute informational brochures and materials as needed.
• Office Administration:
• Assist in general office administrative tasks, such as managing office supplies, coordinating courier services, and maintaining a tidy reception area.
• Communication Liaison:
• Act as a liaison between clients and internal teams, facilitating clear and efficient communication.
• Relay messages and information to the appropriate personnel in a timely manner.
