Position Overview:
The Front Office Executive serves as the primary point of contact for guests, clients, and visitors, ensuring a positive experience and efficient handling of administrative tasks. This role plays a pivotal part in maintaining the professional image and smooth operation of the front office.
Key Responsibilities:
Reception Management:
Greet and welcome guests with warmth and professionalism, providing assistance as needed.
Manage incoming calls, directing them to the appropriate personnel or departments.
Maintain a tidy and organized reception area, ensuring it reflects the company's standards.
Administrative Support:
Assist in various administrative tasks, including but not limited to managing correspondence, scheduling appointments, and handling inquiries.
Coordinate meetings and conference room bookings, ensuring all necessary arrangements are made.
Maintain office supplies inventory and place orders as needed.
Visitor and Client Services:
Act as a liaison between visitors/clients and the company, addressing inquiries and providing necessary assistance.
Ensure all visitors and clients sign in and receive proper badges or identification.
Coordinate with relevant departments to ensure seamless handling of client meetings and appointments.
Communication and Correspondence:
Handle incoming and outgoing mail, packages, and courier services efficiently.
Respond to emails and inquiries promptly, forwarding messages to the appropriate recipients.
