Welcoming Guests: Greeting visitors, clients, and employees as they arrive at the office or facility, offering them refreshments, and notifying the appropriate person of their arrival.
Answering Phones: Operating the telephone switchboard, answering incoming calls, transferring calls to the appropriate person or department, and taking messages when necessary.
Managing Correspondence: Handling incoming and outgoing mail, packages, and deliveries. This may involve sorting mail, signing for packages, and ensuring they reach the intended recipient.
Scheduling Appointments: Coordinating meetings, appointments, and conference room reservations for employees and clients. This includes updating calendars and sending reminders.
Maintaining Reception Area: Ensuring the reception area is clean, organized, and presentable. This may involve tidying up magazines, ensuring furniture is arranged neatly, and replenishing supplies such as pens and paper.
Providing Information: Assisting visitors and callers by providing basic information about the company, its services, and its location. This could involve giving directions, providing office hours, or directing them to the appropriate resources.
Handling Inquiries: Responding to inquiries from clients, customers, and employees via phone, email, or in-person. This may involve providing general information, transferring inquiries to the appropriate department, or taking messages for follow-up.
