As a Female Office Executive , you will play a key role in assisting with day-to-day office operations and coordinating various tasks related to real estate project approvals, client interactions, and internal communications. Your ability to manage multiple tasks, maintain a high level of organization, and communicate effectively will be crucial to your success in this role.
Key Responsibilities:
• Office Coordination : Assist in managing day-to-day office operations, ensuring smooth workflow and timely completion of tasks.
• Client Interaction : Communicate with clients, contractors, and regulatory authorities to assist with project approvals, answer inquiries, and provide status updates.
• Documentation Management : Maintain and organize office records, files, and documents related to approvals, permits, legal papers, and other project-related paperwork.
• Internal Communication : Serve as a liaison between different departments, ensuring all relevant information is communicated efficiently to team members and stakeholders.
• Project Assistance : Support project managers and office staff with administrative tasks such as tracking approval statuses, preparing reports, and following up on outstanding actions.
• Data Entry & Reporting : Handle data entry, prepare reports, and assist in maintaining project timelines and status updates.
• Filing and Record-Keeping : Organize digital and physical files, ensuring that all documents are filed and easily accessible.
• General Administrative Support : Provide administrative support to the management team, including handling phone calls, emails, and correspondence.
Qualifications & Skills:
• Education : Graduate in any field (preferably in business administration, management, or related fields).
• Experience : 1-3 years of experience in an office administration role (real estate or construction industry experience is a plus).
• Technical Skills : Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), and familiarity with office management software/tools.
• Communication Skills : Strong verbal and written communication skills
• Organizational Skills : Excellent organizational and time-management abilities with attention to detail.
• Multitasking Ability : Ability to handle multiple tasks simultaneously while meeting deadlines.
• Problem-Solving : Quick-thinking and resourceful in addressing issues or roadblocks that may arise.
