We are seeking a dedicated and organized Office Assistant to join our team and contribute to the smooth operation of our facility.Position Summary: The Female Office Assistant is responsible for managing the administrative tasks of the office, assisting with the operation of the center, and welcoming and assisting visitors. The ideal candidate will be highly organized, detail-oriented, and possess excellent communication skills.Key Responsibilities:
Administrative Support:
Answer and direct phone calls, emails, and other correspondence.
Maintain and update filing systems, both electronic and paper.
Assist with the preparation of reports, memos, letters, and other documents.
Schedule and coordinate meetings, appointments, and events.
Order and manage office supplies and inventory.
Centre Operations:
Assist in the daily operations of the center, ensuring a clean and organized environment.
Coordinate with maintenance staff for repairs and upkeep of the facility.
Help with the planning and execution of resident activities and programs.
Manage schedules and rosters for staff and volunteers.
Visitor Management:
Greet and welcome visitors, residents families, and vendors.
Provide information and assistance to visitors and direct them to the appropriate person or department.
Ensure the visitor log is maintained accurately.
Handle inquiries and provide information about the services and facilities.
Resident Interaction:
Assist residents with administrative needs, such as completing forms or accessing services.
Foster positive relationships with residents, ensuring they feel supported and heard.
Coordinate transportation and appointments for residents as needed.
Compliance and Confidentiality:
Ensure all activities comply with organizational policies and relevant regulations.
Maintain confidentiality of all resident and organizational information.
Qualifications:
Education: High school diploma or equivalent; additional qualifications in office administration or related field are a plus.
Experience: Previous experience in an administrative role, preferably in a healthcare or senior care setting.
Skills:
Excellent verbal and written communication skills.
Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
Strong organizational and multitasking abilities.
Compassionate and patient demeanor with a passion for working with the elderly.
Ability to work independently and as part of a team.
Basic understanding of healthcare or senior care services is beneficial.
Working Conditions:
Predominantly office-based with regular interaction with residents and visitors.
May require occasional lifting of office supplies and equipment.
Flexible working hours may be required to meet the needs of the facility.
