Position Overview: As a Front Desk Executive in the Dental Clinic, you will play a crucial role in ensuring smooth operations and providing exceptional customer service to patients and visitors. You will be the first point of contact for individuals entering the healthcare facility, and you will be responsible for creating a positive and welcoming environment.
Key Responsibilities:
Greeting and Check-In: Welcome patients, visitors, and other individuals entering the facility. Provide a friendly and professional first impression, ensuring a positive experience from the moment they arrive. Register new patients and verify existing patient information accurately.
Appointment Scheduling: Manage appointment scheduling efficiently, ensuring proper allocation of time slots and resources. Coordinate with medical staff to accommodate patient needs and schedule changes. Ensure accuracy in maintaining the appointment calendar and notify patients of any changes or delays.
Patient Registration: Collect and update patient information accurately, including personal details, medical history, insurance coverage, and consent forms.
Billing and Payment Processing: Assist patients with billing inquiries, insurance claims, and payment processing. Coordinate with billing department to verify insurance coverage, collect co-pays, and manage cash transactions. Maintain accurate records of financial transactions.
Telephone and Email Management: Handle incoming calls and inquiries promptly and professionally. Provide information and direct calls to the appropriate department or personnel. Respond to emails and other forms of communication in a timely manner, addressing patient concerns or forwarding them to the relevant staff.
Patient Support: Provide assistance and guidance to patients regarding general inquiries, directions, and services offered within the healthcare facility. Ensure patients feel comfortable and supported during their visit.
Administrative Tasks: Perform various administrative duties such as filing, data entry, and maintaining office supplies. Assist in maintaining a clean and organized front desk area. Coordinate with other departments to ensure smooth communication and workflow.
Emergency Response: Follow established protocols in handling emergency situations, including alerting the appropriate medical personnel and ensuring the safety and well-being of patients, visitors, and staff.
Qualifications and Skills:
• Proven experience as a front desk executive or similar customer-facing role, preferably in the healthcare sector.
• Excellent verbal and written communication skills.
• Strong interpersonal skills with the ability to provide empathetic and courteous customer service.
• Proficiency in using computer systems and software, including appointment scheduling systems.
• Attention to detail and ability to handle multiple tasks simultaneously.
• Ability to remain calm and composed in stressful situations.
