We are seeking a dedicated and highly organized female Executive Assistant/Secretary to provide comprehensive administrative support to our executive team. The ideal candidate will have a minimum of 2 years of experience in a similar role, excellent communication skills, and the ability to manage multiple tasks efficiently.

Key Responsibilities:

Calendar Management: Coordinate and manage executive schedules, including setting up meetings, appointments, and events. Ensure the executive is well-prepared for meetings with necessary documents and information.

Email Responder: Monitor and respond to emails on behalf of the executive. Priorities and delegate emails as necessary to ensure timely responses.

Team Building: Assist in fostering a positive team environment through effective communication and support. Help organize team-building activities and events.

Team Management: Provide administrative support to the executive team.

Assist in coordinating team tasks and ensuring deadlines are met.

Operations Management: Support the executive team in managing daily operations and ensuring smooth workflow. Assist in developing and implementing office policies and procedures.

Office Administration: Maintain office supplies and handle office logistics.

Ensure the office environment is tidy and professional.

Travel Requirements: Arrange travel itineraries, accommodations, and transportation for the executive and team members as needed. Prepare travel expense reports.

Documentation: Prepare and edit correspondence, communications, presentations, and other documents. Maintain organized and up-to-date filing systems.

Vendor Communication: Communicate with vendors and service providers as necessary.

Manage contracts and ensure timely payments and renewals.

Qualifications :

Minimum of 2 years of experience as an executive assistant, secretary, or in a similar administrative role.

Excellent organizational and time-management skills.

Strong written and verbal communication skills.

Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).

Ability to multitask and priorities tasks effectively.

High level of discretion and confidentiality.

Detail-oriented and proactive approach to work.
