Role: Facility Executive-Soft Services What this job involves: \xe2\x80\xa2 Ownership of the day-to-day administration, including reports generation of the stock\xe2\x80\x99s tracker. \xe2\x80\xa2 Provide assistance to the FM and AFM in managing all administrative functions, security issues and facility services and any other administrative functions as deemed by Client. \xe2\x80\xa2 Developing and implementing procedures and performance measures to ensure simplification and accuracy of work methods and reliability of FM. \xe2\x80\xa2 Ensuring an adequate supply of consumables/materials and service for the proper operation of services and enter into supply and service contracts as approved by the client. \xe2\x80\xa2 Maintain appropriate stock levels of all consumables to ensure smooth operations & escalate in time to achieve availability of stocks. \xe2\x80\xa2 Keep the front desk activities on track, you will be the go-to person for all concerns in the reception area. \xe2\x80\xa2 Pitch in event-related tasks, such as client event itinerary coordination, F&B arrangements. Like a highranking officer creating order and efficiency in a brigade, you\xe2\x80\x99ll need to foster camaraderie and teamwork to get a caf\xc3\xa9 operation through the rapid-fire demands of busy operations \xe2\x80\xa2 Maintain appropriate levels of Petty cash to support FM operations. \xe2\x80\xa2 Vendor invoices processing aligned with Amazon finance process. \xe2\x80\xa2 Statutory compliance check of all vendor invoices. \xe2\x80\xa2 Routinely inspect all services to ensure performance measures are being maintained. \xe2\x80\xa2 Set targets to achieve maximum team performance. \xe2\x80\xa2 Responsible in developing the necessary policies and procedures for all reception-related functions \xe2\x80\xa2 Daily Walk around of the Facility Operational Risk Management \xe2\x80\xa2 Update and implement Emergency Response plan; drills etc as required. \xe2\x80\xa2 After office hours Facilities assistance response \xe2\x80\xa2 Operational Audits and Compliance. \xe2\x80\xa2 Escalation of Incidents/Problems Performance Objectives \xe2\x80\xa2 Meet or exceed best practice in provision of services through contracts. \xe2\x80\xa2 Establishment and adherence to policies & procedures, compliance deadlines for each of the tasks as advised by the Operation Manager. \xe2\x80\xa2 Effective management of the team Sound like you? To apply you need to have: Strong knowledge of property operations Playing a key role, the ideal candidate holds a degree in business or hotel and building management, and at least three to five years\xe2\x80\x99 experience in facilities management. You must also demonstrate good working knowledge in occupational safety, as well as aptitude in client-centric operations.
