Job Description


o provide comprehensive facility and contract management for the client, with a focus on continuous improvement. To achieve financial and other targets established by the Facilities Manager. Achievement of the Key Performance Indicators and Service Level Agreement targets Property Operations \xe2\x80\xa2 Managing all outsourced service contracts and Jones Lang LaSalle personnel, including inspections and quality management of service delivery \xe2\x80\x93 this includes all Cleaning functions/ Security/ Administration/ Reception/ Helpdesk/ Pantry and Mailroom services. \xe2\x80\xa2 Developing and implementing building procedures and performance measures to ensure simplification and accuracy of work methods and reliability of systems \xe2\x80\xa2 Ensuring an adequate supply of materials and service for the proper operation of the buildings and enter into supply and service contracts as approved by the client \xe2\x80\xa2 Routinely Inspect all contracted services to ensure performance measures are being maintained \xe2\x80\xa2 Ensure Helpdesk service requests are attended to in time. \xe2\x80\xa2 Effectively manage the mailroom services to ensure an on time deliverable system \xe2\x80\xa2 Achieve client satisfaction to Client expectations. Staff Management \xe2\x80\xa2 Manage and assist with the personal development of all direct reports. \xe2\x80\xa2 Develop and manage succession plans and appraisals for all direct reports. \xe2\x80\xa2 Actively seek to train subordinates in all aspects of the non-technical services. \xe2\x80\xa2 Actively multi skill all Jones Lang LaSalle staff to increase flexibility and job satisfaction. Reporting \xe2\x80\xa2 Daily/Weekly reports. \xe2\x80\xa2 Contribute to the Monthly Management Report to client and other reports as required. Vendor Management \xe2\x80\xa2 Manage service contracts, including inspections and quality management of service delivery \xe2\x80\xa2 Prepare tender documentation, evaluation of tenders; prepare contracts \xe2\x80\xa2 Management of contract resource to achieve Service Level Agreements to Key Performance Indicators at optimum cost for Client. Others \xe2\x80\xa2 Participate in Emergency Evacuation procedures including crisis management and business continuity. \xe2\x80\xa2 Manage all Health and Safety issues and actively participate in Health and Safety reviews \xe2\x80\xa2 Tertiary qualifications in property, building or facilities management required. \xe2\x80\xa2 Contract Administration experience required. \xe2\x80\xa2 Excellent people skills and ability to interact with a wide range of client staff and demands. \xe2\x80\xa2 Demonstrated experience with tendering and service improvement initiatives required. \xe2\x80\xa2 Knowledge of Occupational Safety requirements \xe2\x80\xa2 Strong PC literacy and proven ability to manage daily activities using various systems. \xe2\x80\xa2 Demonstrated experience with continuous improvement initiatives highly desirable. \xe2\x80\xa2 Demonstrated experience with client reporting and preparation of reports required. \xe2\x80\xa2 Achievement of Contracted Service Levels and Performance Indicators. \xe2\x80\xa2 Achievement of contracted Customer Satisfaction expectations. \xe2\x80\xa2 Management of resource to ensure no disruption to client business. \xe2\x80\xa2 Achievement of savings initiatives as agreed with Client. \xe2\x80\xa2 Delivery of Agreed Initiatives as per Client/Jones Lang LaSalle Initiatives Road Map. \xe2\x80\xa2 Achievement of performance goals as agreed with manager Acts as leadership role model for Jones Lang LaSalle by behaving consistently with cultural requirements. Set stretch targets for self to achieve maximum team performance. Is able to make difficult decisions and resolve problems or improve operations. Actively searches out opportunities to achieve best results \xe2\x80\xa2 Promotes open, constructive and collaborative relations with superiors, subordinates, peers and clients. \xe2\x80\xa2 Gains respect of Jones Lang LaSalle people, clients, and where appropriate, with the broader business community. \xe2\x80\xa2 Listens effectively and communicates through actions and examples.
