Envision Yourself at Barracuda We are looking for a Facilities/Administrative Assistant to join our growing team! This is an exciting opportunity to join a collaborative team where you can truly make an impact. What You\'ll Be Working On Front Office Management: Ensure effective Courier management both inbound and outbound Provide superior and seamless service during guest and client visits Manage guest relation and client visit conference room bookings Maintain records, data integrity, safety compliance and resource optimization Understand and adhere to safety norms Optimum use of resources Arrange meals/snacks for employees Facilities And Infrastructure Management Develop and implement a facility management program including primitive maintenance lifecycle requirements Plan and maintain physical environment and space utilization Manage/supervise all constructive but innovative decoration work of the facility Ensure logistical assistance for organizing events both externally and internally for all stakeholders Support HR to arrange and procure items for social and team bonding events/organize and decorate office premises for such events Implement structured infrastructure and facilities management services like 24/7 office security, AMC management and asset management Ensure effective employee services like ID cards, printing services, stationery and courier services, lease plan etc. Handle visitor management Review adherence to maintenance calendars (preventive, predictive, and corrective) Manage Office Maintenance - Cleaners, Repairs, Renewals, stationary, etc. Take responsibility in arranging the car parking facility for employees and visitors Proactive role for any supporting facilities work to be scheduled with MEP\'s (mechanical/electrical/plumbing) and associated workloads Track stocks of office supplies and place orders when necessary Liaise with landlord on lease related matters Vendor Management License and negotiate with vendors with an objective to seek best possible deals keeping in mind the budget allocated. Act as POC for any escalations between business and service provider Manage office equipment contracts, annual maintenance contracts, etc. Manage local office invoices, prepare, and load into finance system for approvals Evaluate vendor performance and service level agreement and monitor the same Ensure quality of service provided within the office are on par with company standards Ensure that all the registers relating to contractors, housekeeping, and security are maintained as per the statute/conduct periodical reviews. Additional Duties Undertake any other Ad- Hoc duties as and when assigned. Support other lines of business as and when required. What you bring to the role Graduation/ post-graduation in any domain 5-7 years of relevant experience in office administration Able to work well with other team members and stake holders. Ability to work as an individual contributor Attention to detail Understanding of employee needs Flexible and open to change/challenges.
