The Facilities Coordinator is also required to provide administrative support to the team.MAJOR RESPONSIBILITIESClient/Stakeholder ManagementProvide superior customer service to meet on-site clients expectationsProcurement & Vendor ManagementAssist in the management of all contractors on site to ensure they perform to the required standards (including inspection of vendors works)Assist in the procurement of vendors and services as requiredFinance ManagementAssist in financial processes to ensure that all financial management requirements are completed in a timely and accurate mannerEnsure prompt and accurate management of purchase orders in JDEHealth & Safety ManagementConduct regular audits to ensure safety procedures on site are in place and workingAssist in carrying out safety procedures when neededSite Operations ManagementAssist in the implementation of Industry Best Practice operationsConduct site inspections and assessments to ensure all building procedures and performance measures are maintained at all timesSeek ways to constantly reduce costs and improve operational standardsMaintain premises in neat and good working condition at all timesMaintain duplicate office keys in good orderAssist with receptionist coverage from time to timeProvide FM support for meeting room bookings where requiredCoordinate with pantry staff to ensure that pantry and vending machine items are always in stockRisk ManagementAssist in the implementation and management of property risk management programSupport the implementation and monitoring of disaster recovering and business continuity plansFollow established escalation procedures and incident reporting proceduresAdhere to Jones Lang LaSalles business conduct by ensuring compliance with the firms guidelines, procedures and strategiesAchieve Key Performance Indicators and Service Level Agreement targets Responsible for handling of incoming and outgoing calls including distribution. Making sure to demonstrate professional and polite responses in telephone responses.Ensure personal preventability and dress in the assigned uniformReceive, inform, guide visitors including co-ordination with employeesResponsible for maintaining the telephone registers including call trackingPreparation of database of Client contacts and updatingResponsible for maintenance and upkeep of front officeEnsure receipt of magazines and newspapers for the building and ensure display of the latest version in the reception as well as removal of the outdated magazinesEnsure compliance of regulations / requirements of JLL management.Provide assistance in general administrative activitiesProvide assistance to the Help Desk as requiredContribute to the Monthly Management Report to (Client)Participate in Emergency Evacuation procedures including crisis management and business continuity.Develop the necessary policies and procedures required for all functions within the scope of ReceptionTo act as a back-up to Help Desk in case of emergency / requirementResponsible for ensuring availability of magazines/ brochures and (Client) directory signageCo-ordinate for flower arrangementsAssist in utilization of conference roomsCo-ordinate with Facility team for event managementACCOUNT SPECIFIC RESPONSIBILITIES (Mumbai)
