Overview The India GBS (HBS) Site operations leader and head of Real Estate admin and Employee Experience is responsible for overseeing the organization\'s site operations, ensuring it aligns with the overall business strategy, and supports the employee experience. This role will lead the planning, acquisition, and management of Real Estate admin, Facilities, Employee Experience, BCP & Crisis Management, Transportation, Security & Physical Infrastructure for HBS. This seating capacity is planned to double over the next 2 years, and the incumbent in this role will be expected to drive the project from start to finish: Extensive set up work to get each phase of real estate delivered for occupation at PepsiCo standards Design requirements for the real estate In addition the role involves the following key areas Day to day: Compliance requirements given the workspace is in a Special Economic Zone Vendor management negotiations, set up and governance for a variety of services including, but not limited to: Transport provided for all employees A fully functional and constantly cafeteria Housekeeping and security Employees having car leases Physical security of our employees and assets Key projects and initiatives: Large events management - Family Day in office, Sports Day, HBS annual day, Mega Townhalls for PEC members and event management of high profile leadership visits at HBS Business Continuity Planning for a center that works across multiple markets for PepsiCo, with extensive working with the US PEP+ focus on PepsiCo\'s sustainability agenda through our transport, facilities and Green Team initiatives (finding better ways of delivering our facilities services while reducing our plastic usage, reducing our carbon footprint, reducing water usage, and being environment friendly) CSR focus in organising giving events along with our CSR lead Continuous benchmarking and looking for new ways to enhance the employee experience through workplace solutions to engage and retain employees in a very hot talent market All this will require a massive set up effort, and then the ongoing monitoring and governance of vendors and their services, costs containment and ensuring a great employee experience. Also, any required government licence requirements for the facility will have to be taken care of. This role is expected to lead and manage all this scope of work. And bring the required leadership maturity and experience to support the same. Responsibilities Facilities Management The incumbent will have responsibility for all aspects of building management which incorporates lease / legal compliance, negotiation with landlords, Contractual obligations etc. for all office and manufacturing locations. Will be looking after renovation and furnishing of existing offices. Will be driving cost saving measures with implementation of cutting-edge technologies Security Will have responsibility of maintaining and up-dating state-of-art security systems [electronic and physical] at corporate office, branch offices and plant locations. Manage security operations at the site and ensure governance mechanism around CCTV surveillance activities. Budgeting and MIS Preparing, controlling and coordinating the Capital and Revenue Admin budget of plants and Regional Offices. Controlling all Agreements, Purchase Requisition and Purchase Orders. Managing Opex and Capex. Statutory Compliances Will be responsible for all statutory compliance related to site administration. Ensure complete compliance and on time action. Documentation related to statutory compliances and ISO standards. Obtaining various licenses and permission like Fire NOC, Lift Operation etc. Regular meeting with Govt. officials related to legal permissions and compliances. Event Management Responsible for organizing high level meetings, Award functions, Annual Meets, Strategy meets, Townhalls etc. Government Liasioning Liaise with the government bodies like DC, SDM, Municipal Commission, Local SHO etc. Vendor Management Set up SOPs and SLAs, monitor adherence to SLAs and provide management reporting for housekeeping and other soft services operations. Budgeting for contract manpower, terms negotiations and negotiate with vendors for appropriate rate and judicious utilization. Managing vendors related with Security, Housekeeping, Horticulture, Canteen, Transportation, Courier etc. Qualifications Functional Skills Facilities management Cost optimization Security Operations Transport Management Business Continuity Management-Physical Risk Management Vendor Management Cafeteria Management Working exposure in ERP system Good knowledge of MS-Office Behavioural Skills Very high integrity Customer Relationship Management and client handling Work in and/or lead interdisciplinary and/or cross-cultural teams.
