Key ResponsibilitiesExport Operations:
  • Documentation Management: Prepare and manage all export documentation, including invoices, packing lists, certificates of origin, and bills of lading. Ensure accuracy and compliance with international trade regulations.
  • Logistics Coordination: Coordinate the logistics of exporting goods, including arranging transportation, managing shipping schedules, and tracking shipments to ensure timely delivery.
  • Customs Compliance: Handle all aspects of customs clearance, including preparing and submitting required documents and coordinating with customs brokers and freight forwarders.
  • Quality Assurance: Ensure that all products meet international quality standards and customer specifications. Oversee the inspection and certification process for organic products.
Client Relations:
  • Client Communication: Serve as the primary point of contact for international clients, addressing inquiries, providing updates on orders, and resolving any issues that arise.
  • Order Management: Process and manage client orders, ensuring accuracy in pricing, quantities, and delivery schedules. Maintain detailed records of orders and client interactions.
  • Market Research: Conduct research on international markets, identifying new opportunities and trends in the organic herbs and spices industry. Provide insights to support the development of export strategies.
Compliance and Reporting:
  • Regulatory Compliance: Stay updated on international trade regulations, including organic certification requirements and import/export restrictions. Ensure compliance with all relevant laws and regulations.
  • Reporting: Prepare and present regular reports on export activities, including sales performance, market trends, and logistics operations. Provide recommendations for process improvements.
Cross-Functional Collaboration:
  • Team Coordination: Work closely with the production, quality control, and sales teams to ensure seamless export operations and meet client expectations.
  • Vendor Management: Liaise with suppliers, freight forwarders, and other service providers to negotiate terms, manage relationships, and ensure cost-effective and efficient export processes.
Qualifications and Skills
  • Education: Bachelors degree in International Business, Supply Chain Management, Logistics, or a related field.
  • Experience: Minimum of 2-3 years of experience in export operations, preferably within the organic food or agricultural sector.
  • Knowledge: In-depth understanding of export documentation, customs regulations, and international trade laws. Familiarity with organic certification processes is a plus.
  • Technical Skills: Proficiency in using export management software and tools. Advanced skills in Microsoft Office Suite, particularly Excel.
  • Communication: Excellent verbal and written communication skills. Ability to interact effectively with international clients and stakeholders.
  • Organizational Skills: Strong organizational and multitasking abilities. Attention to detail and a commitment to accuracy.
  • Problem-Solving: Strong analytical and problem-solving skills. Ability to navigate complex export regulations and logistics challenges.
  • Language Skills: Proficiency in additional languages relevant to key export markets is an advantage.
  • Interpersonal Skills: Friendly, approachable, and capable of building positive relationships with clients and colleagues.
