Job Description


:Reports To: Assistant ManagerJob Type: AssociateJob Summary:We are looking for a meticulous and efficient Accounts Payable Associate to join our team. In this role, you will handle key tasks related to processing invoices, managing payments, and updating documentation. You will interact with both internal teams and external vendors to ensure smooth and accurate financial operations.Key Responsibilities:

  • Invoice Processing: Receive and review invoice numbers from the onshore team. Verify details and approve payments for customers and carriers in the clients system.
  • Payment Management: Handle vendor invoices received weekly or monthly through email. Process and release payments to vendors and create corresponding invoices for customers in the client system.
  • Documentation Management: Receive and update documents from the onshore team via email. Ensure accurate updates on customer portals.
  • Vendor Communication: Manage carrier pending invoice statements and queries received via email. Provide explanations for any unpaid invoices and resolve discrepancies as needed.
Qualifications:
  • Education: B. Com Graduate.
  • Experience: Previous experience in accounts payable or a related accounting role is preferred (minimum 1-2 years). Familiarity with invoicing and payment processing systems is a plus.
  • Skills: Strong attention to detail and accuracy. Excellent organizational and time-management skills. Ability to handle multiple tasks and prioritize effectively.
  • Communication: Effective written and verbal communication skills. Ability to interact professionally with vendors, carriers, and internal teams.
  • Technical Proficiency: Proficiency in Microsoft Office Suite (Excel, Word, Outlook). Experience with accounting software or client systems is advantageous.
Primary Internal Interactions:
  • Assistant Manager - Operations: Report performance, clarify concerns, and seek feedback and support. Address day-to-day operational issues and follow up on ongoing tasks.
  • Manager: Escalate and resolve issues that remain unresolved after initial handling by the Assistant Manager. Collaborate on strategic decisions and process improvements.
  • CCEs (Team Members): Seek cooperation and clarification on process-related matters. Provide assistance and support as needed to ensure team alignment and efficiency.
  • SME/Process Trainer: Participate in training sessions and update knowledge as required. Engage in continuous learning to stay current with process changes and best practices.
Soft Skills:
  • Adaptability: Demonstrate a willingness to change within the technological/systems environment. Adjust well to new situations and changing priorities. Focus on the highest priorities first and be well-organized.
