Job Summary:
The Travel Desk Executive is responsible for managing and coordinating all aspects of travel arrangements for the company's employees as well as Management. This includes booking flights, hotels, and car rentals, managing travel itineraries, ensuring compliance with the company's travel policies, and providing support to employees during their travel. The role requires excellent organizational skills, attention to detail, and the ability to work under pressure. Key Responsibilities: • Travel Arrangements:
• Book domestic and international flights, hotels, Visa, Insurance and ground transportation.
• Coordinate and manage travel itineraries for employees, ensuring all travel details are accurate and timely.
• Ensure all travel bookings comply with the company's travel policies and budget.
Corporate Travel Management & Cost Effectiveness:• Global Travel desk, implementing streamlined processes to enhance travel efficiency and cost-effectiveness across air travel, accommodations, ground logistics, and visa documentation for both inbound and outbound travel.
• Ensured accuracy and completeness of visa processing with optimizing checklist and process implementation .
• Spearheaded the implementation and successful go-live of self-booking tools to automate & simplifying travel arrangements and collaborated with business requesters to analyzing and recommending the most economical options.
• Travel Support:
• Provide support to employees during their travel, including changes in travel plans and emergency assistance.
• Resolve travel-related issues promptly and efficiently.
• Liaise with travel agencies, airlines, hotels, and other vendors to secure the best rates and services.
• Administrative Duties:
• Maintain and update travel records, ensuring all data is accurate and up to date.
• Prepare and distribute travel-related reports and documentation.
• Assist with travel expense reports and reimbursement processes.
• Policy Compliance:
• Ensure all travel arrangements adhere to the company's travel policies and procedures.
• Educate employees on travel policies and provide guidance on travel-related queries.
• Vendor Management:
• Establish and maintain relationships with travel vendors and service providers.
• Negotiate contracts and rates with travel vendors to ensure cost-effectiveness.
• Communication:
• Communicate effectively with employees, management, and vendors regarding travel arrangements and policies.
• Provide regular updates and reports to management on travel activities and expenses.
Qualifications: • Bachelor's degree in hospitality, Travel Management, or a related field.
• Minimum of 2-3 years of experience in a travel company
• Proficiency in using travel booking systems and software.
• Excellent organizational and multitasking skills.
• Strong communication and interpersonal skills.
• Attention to detail and ability to work under pressure.
• Knowledge of domestic and international travel regulations and requirements.
Preferred Qualifications: • Experience working in a fast-paced environment.
• Familiarity with travel management software and corporate travel policies.
• Certification in travel management or related fields.
Working Conditions: • Office-based role with occasional requirements to work outside regular hours to accommodate travel emergencies.
• Ability to handle high-stress situations and work effectively in a dynamic environment.
