As an Executive Admin you will be working with our HR and Accounts team in order to execute their daily tasks for efficient operation of the company. Your responsibilities will be as follows:
  • Maintain and manage visitors, inward, and vehicle record books.
  • Coordinate maintenance tasks with vendors (carpenter, painter, electrician, etc.).
  • Oversee housekeeping activities to ensure a clean and organized work environment.
  • Purchase and maintain monthly cafeteria consumables and office stationery.
  • Maintain and update maintenance files, including asset and renewal lists.
  • Handle renewals related to company licenses, permits, and certifications (e.g., trade license, fire safety, etc.).
  • Manage official sim cards and courier services.
  • Coordinate travel bookings and visa processing for management and employees.
  • Organize and manage various office events and activities including logistics, purchase props and gifts, and arrange food/snacks.
  • Support vendor registration process by preparing general tender documents.
  • Assist the Business Development team in pre-sales and post-sales activities.
  • Register company representatives for various exhibitions, conferences, etc.
  • Assist and coordinate with design engineering team, HR, finance team, and management.
Job Requirements:
  • You are a graduate in commerce, fresher or with minimum relevant work experience of 6 months.
  • Proven experience as an Executive Administrative Assistant or in a similar role will be preferred.
  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Proficient in Microsoft Office Suite.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Detail-oriented with a proactive and problem-solving attitude.
  • You should hold a two-wheeler license.
  • You are ready to serve minimum service commitment of 2.5 years in our company.
  • Candidates living in and around Panaji will be preferred.
