Key Responsibilities
  • Administrative Support: Provide thorough administrative assistance to the executive team, including calendar management, meeting scheduling, and travel coordination.
  • Communication: Serve as the primary contact between the executives and internal/external clients. Manage correspondence, draft emails, and prepare documents.
  • Meeting Coordination: Organize and prepare for meetings by creating agendas, taking minutes, and ensuring follow-up on action items.
  • Travel Arrangements: Plan and coordinate domestic and international travel itineraries, accommodations, and transportation.
  • Project Management: Assist in planning and executing special projects and initiatives, tracking progress and ensuring deadlines are met.
  • Confidentiality: Handle sensitive information with the highest level of confidentiality and professionalism.
  • Document Management: Maintain and organize both electronic and paper files, records, and documents.
  • Office Management: Oversee office supplies inventory, order new supplies as needed, and ensure a professional office environment.
  • Expense Reporting: Prepare and submit expense reports for the executive team.
  • Event Planning: Coordinate and manage events, conferences, and other professional gatherings.
  • Miscellaneous Tasks: Perform other duties as assigned to enhance the efficiency and effectiveness of the executive team.
Qualifications
  • Education: Bachelors degree preferred, or equivalent experience in a similar role.
  • Experience: Minimum of 3-5 years of experience as an Executive Assistant or in a similar administrative position.
  • Skills:
  • Strong organizational and time management skills.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently and manage multiple tasks simultaneously.
  • High level of professionalism and discretion.
  • Strong problem-solving abilities and attention to detail.
  • Ability to anticipate needs and proactively address them.
