Job Summary:
The Executive Assistant provides high-level administrative support to the Principal or Headmaster and other key members of the school's administrative team. This position involves handling sensitive information, coordinating schedules, managing communications, and facilitating various school operations.
Key Responsibilities:
• Administrative Support:
• Manage the Principal's calendar, schedule appointments, and coordinate meetings.
• Handle correspondence, including emails, letters, and phone calls.
• Prepare reports, presentations, and other documents as required.
• Maintain organized filing systems, both electronic and paper-based.
• Communication:
• Serve as the primary point of contact between the Principal and internal/external stakeholders.
• Draft and proofread communications on behalf of the Principal.
• Coordinate and distribute school-wide communications.
• Event Coordination:
• Assist in planning and coordinating school events, meetings, and conferences.
• Manage logistics for events, including venue arrangements, catering, and technology setup.
• Data Management:
• Maintain confidential student, staff, and school records.
• Compile and analyze data for reports and presentations.
• Ensure data accuracy and compliance with school policies and regulations.
• Operational Support:
• Assist with budget preparation and monitoring.
• Handle procurement of office supplies and equipment.
• Coordinate travel arrangements and itineraries for the Principal and other staff members.
• Project Management:
• Support the Principal in executing strategic initiatives and projects.
• Monitor project timelines and deliverables.
• Collaborate with various departments to ensure project success.
• Stakeholder Engagement:
• Build and maintain positive relationships with parents, students, staff, and community members.
• Address inquiries and concerns promptly and professionally.
• Facilitate parent-teacher communications and meetings.
• Office Management:
• Oversee the daily operations of the school's administrative office.
• Supervise and train administrative staff and interns.
• Implement office policies and procedures to improve efficiency.
Qualifications:
• Education: Bachelor's degree in Business Administration, Education, or related field preferred.
• Experience: Minimum of 3-5 years of experience in an administrative or executive assistant role, preferably in an educational setting.
• Skills:
• Excellent organizational and time-management skills.
• Strong written and verbal communication abilities.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Ability to handle confidential information with discretion.
• Strong problem-solving skills and attention to detail.
• Ability to work independently and as part of a team.

Salary:
Commensurate with experience and qualifications.
