: Personal Assistant to Managing Director
Position Overview: As a Personal Assistant (PA) to the Managing Director (MD), you will play a crucial role in providing high-level administrative support and assistance to ensure the smooth functioning of the MD's office. This position requires a proactive and organized individual who can handle a wide range of tasks with discretion and professionalism. The successful candidate will be responsible for managing the MD's schedule, coordinating meetings, handling communications, and executing various administrative functions.
Key Responsibilities:
Calendar Management:
Effectively manage the MD's calendar, schedule appointments, and coordinate meetings.
Prioritize and organize appointments, ensuring the MD is well-prepared for all engagements.
Communication Management:
Act as a primary point of contact for the MD, screening and prioritizing emails, phone calls, and other communications.
Draft, review, and edit correspondence on behalf of the MD.
Travel Coordination:
Arrange travel plans, including flights, accommodations, and transportation, ensuring efficient and cost-effective arrangements.
Prepare travel itineraries and necessary documents.
Meeting Coordination:
Coordinate and schedule internal and external meetings, ensuring all logistics are in place.
Prepare meeting agendas, take minutes, and follow up on action items as necessary.
Document Management:
Organize and maintain electronic and physical files, ensuring easy accessibility to relevant documents.
Prepare reports, presentations, and other documents as required.
Confidentiality:
Handle sensitive information with the utmost confidentiality and discretion.
Task Prioritization:
Assist in prioritizing tasks and projects to ensure deadlines are met.
Anticipate needs and proactively address issues that may arise.
Office Administration:
Oversee general office administration tasks, including ordering supplies and maintaining office equipment.
Special Projects:
Assist the MD with special projects, research, and other initiatives as needed.
Relationship Management:
Build and maintain positive relationships with internal and external stakeholders.
Job Type: Permanent
Pay: ?15,000.00 - ?30,000.00 per month
