This role involves managing a variety of tasks, including research, reporting, and coordination of communications and schedules. The ideal candidate will be proactive, highly organized, and capable of handling multiple priorities efficiently within the dynamic and often demanding environment of the mining and manufacturing industry.
Job Responsibilities:
Administrative Support
Manage the Promoter's calendar, including scheduling appointments, meetings, and travel arrangements specific to site visits and industry conferences.
Screen and prioritize incoming communications, correspondence, and requests related to mining and manufacturing operations.
Prepare and edit correspondence, communications, presentations, and other documents, often involving technical details.
Conduct industry-specific research, compile data, and prepare reports for consideration and presentation.
Meeting and Event Coordination:
Organize and coordinate meetings, conferences, and events, including logistics, catering, and materials, ensuring alignment with industry safety and compliance standards.
Attend meetings and record minutes, capturing key technical and strategic discussions.
Ensure the Promoter is well-prepared for meetings and events with relevant materials and information.
Communication and Liaison
Act as a point of contact between the Promoter and internal/external stakeholders, including industry partners, regulatory bodies, and community representatives.
Handle sensitive information with discretion and confidentiality, particularly related to proprietary processes and strategic initiatives.
Facilitate communication within the organization and with external partners, ensuring clarity and alignment with the Promoter's directives.
Project Management
Assist in the planning and execution of special projects and initiatives, particularly those related to mining operations, safety protocols, and manufacturing processes.
Track progress, ensure deadlines are met, and report on project status to the Promoter.
Office Management:
Oversee office supplies and equipment, ensuring they are maintained and stocked, particularly for operational needs and emergencies.
Manage files and records, ensuring they are organized, accessible, and compliant with industry regulations.
Qualifications:
Bachelor's degree in Business Administration, Engineering, or a related field preferred.
Experience
Minimum of 3-10 years of experience as an Executive Assistant or in a similar role, preferably in the mining, manufacturing, or heavy industries.
Skills:
Exceptional organizational and time-management skills.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
Strong interpersonal skills and the ability to build relationships with stakeholders.
High level of discretion and confidentiality. - Ability to work independently and as part of a team.
Problem-solving skills and the ability to think proactively.
Familiarity with mining and manufacturing terminology and processes is a plus.
