The Executive Assistant to the Director provides high-level administrative support, ensuring efficient operation of the Director's office. This role involves handling information requests, performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings.
Key Responsibilities:
• Administrative Support:
• Manage and maintain the Director's calendar, scheduling appointments, meetings, and conferences.
• Screen incoming calls and correspondence, responding independently when possible.
• Prepare and edit correspondence, communications, presentations, and other documents.
• Meeting Coordination:
• Organize and coordinate meetings, including preparing agendas, materials, and taking minutes.
• Follow up on action items and ensure timely completion.
• Travel Arrangements:
• Arrange travel itineraries, accommodations, and transportation for the Director.
• Prepare travel expense reports and ensure timely reimbursement.
• Communication:
• Act as a point of contact between the Director and internal/external stakeholders.
• Handle confidential information with discretion.
• Project Management:
• Assist in the preparation of reports, proposals, and presentations.
• Support the Director in managing various projects, ensuring deadlines are met.
• Office Management:
• Oversee the maintenance of office facilities, supplies, and equipment.
• Coordinate with other administrative staff to ensure smooth office operations.
• Event Planning:
• Plan and execute company events, meetings, and other activities as required.
• Manage event budgets and logistics.
• Documentation and Record Keeping:
• Maintain accurate records and files for the Director.
• Ensure documents are filed appropriately and can be easily retrieved.
