Job Description

• Executive Support:
• Manage the executive's calendar, schedule meetings, and coordinate travel arrangements.
• Prepare and edit correspondence, reports, and presentations.
• Handle confidential information with discretion and professionalism.
• Serve as a point of contact between executives and internal/external stakeholders.
• Assist in preparing for meetings, including agenda creation and document distribution.
• Administrative Management:
• Oversee office operations and administrative functions to ensure smooth daily operations.
• Manage office supplies inventory and place orders as needed.
• Coordinate and facilitate office services such as maintenance, mailing, supplies, and equipment.
• Organize and maintain filing systems, both electronic and physical.
• Communication:
• Draft and manage email communications, memos, and other correspondence.
• Screen and direct phone calls and distribute correspondence.
• Handle inquiries and requests from employees and external parties.
• Event Coordination:
• Plan and coordinate company events, meetings, and conferences.
• Arrange catering, venue, and logistics for events and meetings.
• Prepare materials and presentations for events as needed.
• Financial Administration:
• Assist with budget preparation and expense management.
• Process invoices, manage accounts payable, and handle petty cash.
• Maintain records of financial transactions and prepare financial reports.
• Project Management:
• Assist in the planning and execution of special projects.
• Track project progress and provide updates to the executive team.
• Ensure projects are completed within scope, time, and budget.
• Other Duties:
• Perform other related duties as assigned by the executive team.
• Continuously improve administrative processes and procedures.

Qualifications:

• Education: Bachelor's degree in Business Administration, Management, or related field preferred.
• Experience: Minimum of 3-5 years of experience in an executive assistant or administrative role.
• Skills:
• Strong organizational and time-management skills.
• Excellent verbal and written communication abilities.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Ability to handle confidential information with discretion.
• Strong problem-solving skills and attention to detail.
• Ability to multitask and prioritize tasks effectively.
• Professional demeanor and strong interpersonal skills.

Job Type: Full-time

Pay: ?20,000.00 - ?35,000.00 per month
