Calendar management for nominated team members including meeting room bookings, teleconference
set up, catering, conferences, and events

Managing MS Office Calendars by creating invites, responding to invitation requests, coordinating with
other teams/EA\'s and key internal and external stakeholders in a timely manner
*
Scheduling calls with internal & external stakeholders and sending out reading material / presentations
ahead of these calls
Visitor management & Meeting room bookings
*
Email Intimation to Godrej reception & the organization\'s reception for daily visitors
*
Ensuring meeting rooms are booked and available on time for visitors
*
Escorting visitors to meeting rooms if the front office is busy or unavailable
*
Manage & coordinate visits of global team members
assistance with scheduling meetings, hotel
accommodation, local transport & food arrangements
*
Informing HR/Front desk of global visitors so that seating arrangements can be made
in advance
Travel Management
including visas, flights, hotels and car bookings. Ensure travel policy is adhered to in
letter & spirit
Correspondence and Documentation support

Correspondence
with internal and external stakeholders on behalf of the manager & team

Preparation of presentations, as and when requested

Document Management including printing/copying/binding of documents, creating and maintaining
effective filing and archiving process and keeping updated client contact database
Team events

Working lunches
ordering meals as per set guidelines, ensuring pantry staff is apprised of the details of
service and keeping the front desk informed

Organizing team drinks, meals & offsites in line with Company T&E policy

Expense Management :
Managing general expense claims for team members through Concur

Vendor payments
checking and uploading vendor invoices for payment

Maintaining leave records of the team, if required
