Key Responsibilities:
1. Calendar Management: Coordinate and manage the founder's calendar, scheduling meetings, appointments, and travel arrangements. Anticipate scheduling conflicts and proactively resolve them to ensure optimal use of the executive's time.
2. Communication Handling: Screen and manage incoming calls, emails, and other correspondence. Draft and prepare communications on behalf of the founder, including memos, letters, reports, and presentations.
3. Meeting Coordination: Arrange and coordinate meetings, conferences, and events.
4. Prepare agendas, take minutes, and follow up on action items as needed.
5. Information Management: Maintain and organize the founder's files, records, and documents. Conduct research and compile data to support the executive's initiatives and projects.
6. Travel Arrangements: Make travel arrangements including flight bookings, hotel accommodations, and transportation logistics. Prepare travel itineraries and ensure all arrangements align with the executive's preferences and schedules.
7. Administrative Support: Provide general administrative support such as handling expenses, processing invoices, and maintaining office supplies. Handle confidential information with discretion and professionalism.
8. Relationship Management: Build and maintain relationships with key stakeholders including clients, partners, and internal team members. Serve as a point of contact between the founder and internal/external contacts.
Skills and Qualifications:
1. Graduate or postgraduate by qualification
2. Proven experience as an executive assistant or similar administrative role.
3. Excellent organizational and time-management skills.
4. Advanced proficiency in MS Office (Word, Excel, PowerPoint) and office management software.
5. Strong verbal and written communication skills.
6. Ability to multitask and prioritize tasks effectively.
7. Discretion and confidentiality in handling sensitive information.
8. Bachelor's degree preferred, but not always required depending on experience.
Working Conditions:
Typically, office-based with regular hours, but flexibility is required to accommodate the founder's schedule. May involve occasional travel with the executive or to attend conferences and events.
