Key Responsibilities:
1. Administrative Support:
- Manage the Director's calendar, including scheduling meetings, appointments, and travel arrangements.
- Coordinate and prepare materials for meetings, presentations, and reports.
- Handle correspondence, emails, and phone calls, prioritizing and responding as appropriate.
- Maintain organized and efficient filing systems, both electronic and physical.
2. Office Management:
- Oversee the day-to-day operations of the Director's office.
- Ensure the office is well-maintained, organized, and adequately supplied.
- Liaise with other departments to facilitate communication and coordination.
3. Communication:
- Act as a point of contact between the Director and internal/external stakeholders.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Coordinate and facilitate effective communication within the organization.
4. Project Management:
- Assist in the planning and execution of projects and initiatives led by the Director.
- Track project progress, deadlines, and deliverables.
- Prepare project reports and updates for the Director.
5. Event Coordination:
- Plan and coordinate events, meetings, and conferences.
- Manage logistics, including venue selection, catering, and equipment setup.
- Handle invitations, RSVPs, and follow-up communications.
6. Financial Administration:
- Assist with budget preparation and expense tracking.
- Process invoices, reimbursements, and other financial transactions.
- Maintain accurate records of financial activities.
7. Confidentiality:
- Handle sensitive and confidential information with discretion.
- Ensure compliance with company policies and procedures regarding data privacy and security.
Qualifications:
- Bachelor's degree in Business Administration, Management, or a related field.
- Proven experience as an executive assistant or in a similar role.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently and as part of a team.
- High level of professionalism and discretion.
- Knowledge of the real estate industry is a plus.
Preferred Skills:
- Project management experience.
- Familiarity with office management systems and procedures.
- Strong problem-solving skills and attention to detail.
Working Conditions:
- Full-time position, typically Monday to Friday.
- Occasional overtime may be required.
- Office environment with occasional travel for meetings and events.
