•Job Title: Executive Assistant to Director •
•Job Summary: •
The Executive Assistant to the Director provides high-level administrative support to the Director, managing schedules, communications, and various administrative tasks to ensure the smooth operation of the Director's office. This role requires exceptional organizational skills, attention to detail, and the ability to handle sensitive information with discretion.
•Key Responsibilities: •
1. •Administrative Support: •
- Manage the Director's calendar, schedule meetings, and coordinate appointments.
- Organize and prepare materials for meetings, including agendas, presentations, and reports.
- Handle travel arrangements, including booking flights, accommodation, and transportation.
2. •Communication Management: •
- Screen and manage phone calls, emails, and correspondence on behalf of the Director.
- Draft and proofread letters, emails, and other documents.
- Maintain effective communication between the Director and internal/external stakeholders.
3. •Project Coordination: •
- Assist with the planning and execution of projects and initiatives led by the Director.
- Monitor project timelines and deliverables, ensuring deadlines are met.
- Prepare and distribute project-related documentation.
4. •Office Management: •
- Maintain organized files and records, both physical and electronic.
- Handle office supplies inventory and order as needed.
- Ensure the office environment is professional and well-maintained.
5. •Event Planning: •
- Assist in the planning and coordination of company events, meetings, and conferences.
- Manage event logistics, including venue booking, catering, and guest coordination.
- Prepare event materials and manage on-site event support.
6. •Research and Analysis: •
- Conduct research and compile data to support the Director's decision-making process.
- Prepare reports and presentations based on research findings.
•Qualifications: •
- Bachelor's degree in Business Administration, Management, or a related field.
- Minimum of 3-5 years of experience in an executive assistant or similar role.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent written and verbal communication skills.
- Strong organizational and time-management skills.
- Ability to handle confidential information with discretion.
- Attention to detail and problem-solving skills.
- Proactive and able to work independently.
Job Type: Full-time
Pay: ?700,000.00 - ?800,000.00 per year
