We are seeking a highly efficient and proactive Executive Assistant to support our Director. The ideal candidate will be an organized and detail-oriented professional, capable of managing a diverse range of administrative and executive support tasks, including cash management, process improvement (Kaizen), OPL (One-Point Lessons), travel management, and general administrative duties.
Key Responsibilities:
• Administrative Support:
• Manage the Director's calendar, schedule appointments, and coordinate meetings.
• Prepare and organize materials for meetings, presentations, and reports.
• Handle correspondence, including emails, phone calls, and written communication.
• Maintain and organize confidential files and documents.
• Cash Management:
• Assist in daily cash management tasks, including cash flow tracking and reconciliation.
• Prepare and process expense reports and manage reimbursements.
• Ensure accuracy and compliance with financial policies and procedures.
• Travel Management:
• Arrange travel plans, itineraries, and accommodations for the Director.
• Prepare travel expense reports and ensure timely reimbursements.
• Manage travel logistics and resolve any issues that may arise during travel.
• Kaizen (Continuous Improvement):
• Support the implementation of Kaizen initiatives to improve operational efficiency.
• Assist in identifying areas for process improvement and recommend solutions.
• Participate in Kaizen events and contribute to a culture of continuous improvement.
• OPL (One-Point Lessons):
• Develop and maintain One-Point Lessons to document key processes and procedures.
• Ensure OPLs are updated regularly and accessible to relevant team members.
• Train and support staff in understanding and applying OPLs.
• Project Management:
• Assist in the planning and execution of special projects and events.
• Coordinate with internal departments and external partners to ensure project milestones are met.
• Track project progress and provide regular updates to the Director.
• Office Management:
• Oversee office supplies and inventory, ensuring the office operates efficiently.
• Coordinate with IT and facilities teams to address office maintenance and technical issues.
• Client Relations:
• Serve as a primary point of contact for clients and stakeholders.
• Manage client inquiries and ensure timely and appropriate responses.
• Assist in maintaining strong relationships with key clients and partners.
Qualifications:
• Bachelor's degree in Business Administration, Management, Finance, or a related field.
• Minimum of 3-5 years of experience as an Executive Assistant, preferably in the luxury goods or retail industry.
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
• Experience with cash management and financial reconciliation.
• Knowledge of Kaizen and continuous improvement methodologies.
• Excellent organizational and time-management skills.
• Strong written and verbal communication abilities.
• High level of discretion and confidentiality.
• Ability to work independently and as part of a team.
• Strong problem-solving skills and attention to detail.
• Age :- Preferable 25-45 Years
