• Efficiently manage the executive's calendar, including scheduling and confirming appointments and meetings.
• Proactively identify and resolve scheduling conflicts.
• Travel Coordination:
• Plan and arrange all aspects of business travel, including flights, accommodation, transportation, and itineraries.
• Ensure travel arrangements are cost-effective and meet the executive's preferences and needs.
• Communication Management:
• Manage and prioritize incoming emails, phone calls, and correspondence.
• Draft and prepare emails, letters, and other documents on behalf of the executive.
• Meeting Support:
• Organize and coordinate meetings, including preparing agendas, taking minutes, and ensuring follow-up actions are tracked and completed.
• Ensure all meeting materials and presentations are prepared in advance.
• Project Assistance:
• Assist with the management and coordination of special projects and initiatives.
• Track project progress and provide regular updates to the executive.
• Document Management:
• Maintain and organize files, documents, and records in both physical and digital formats.
• Ensure documents are easily accessible and secure.
• Office Administration:
• Manage office supplies and equipment, ensuring the executive's office runs smoothly.
• Handle administrative tasks such as expense reporting, invoicing, and budgeting.
• Event Planning:
• Coordinate and manage corporate events, meetings, and conferences.
• Ensure all logistical aspects are handled efficiently and effectively.
• Stakeholder Liaison:
• Act as a liaison between the executive and internal/external stakeholders.
• Maintain positive relationships and ensure effective communication.
