Job Title: Executive Assistant
Reports To: Director
Job Summary:
The Executive Assistant to the Director provides high-level administrative support to the Director, ensuring smooth and efficient operation of the directorate. This role requires a proactive and organized professional who can handle a wide range of administrative tasks, prioritize responsibilities, and maintain confidentiality. The Executive Assistant acts as a key point of contact between the Director and internal/external stakeholders, managing communication and facilitating workflow.
Responsibilities:
• Calendar Management:
• Schedule and coordinate appointments, meetings, and events for the Director.
• Anticipate and manage scheduling conflicts, ensuring optimal use of the Director's time.
• Communication Management:
• Manage and prioritize incoming communications (emails, calls, messages) on behalf of the Director.
• Draft and prepare correspondence, reports, and presentations.
• Travel Coordination:
• Arrange complex travel itineraries, accommodations, and logistics for the Director.
• Ensure travel plans align with the Director's schedule and preferences.
• Meeting Support:
• Prepare agendas, materials, and documents for meetings attended by the Director.
• Take minutes and follow up on action items as necessary.
• Information Management:
• Maintain organized and up-to-date electronic and physical files for the Director.
• Research, compile, and analyze information as requested by the Director.
• Stakeholder Liaison:
• Act as a liaison between the Director and internal/external stakeholders.
• Coordinate and facilitate communication with team members and other departments.
• Confidentiality:
• Handle sensitive information with discretion and maintain a high level of confidentiality.
• Task Prioritization:
• Prioritize and manage multiple tasks simultaneously to meet deadlines.
• Special Projects:
• Assist with special projects and initiatives as assigned by the Director.
Qualifications:
• Bachelor's degree in Business Administration, Secretarial Studies, or related field.
• Proven experience as an Executive Assistant or similar role.
• Strong organizational and multitasking skills.
• Excellent written and verbal communication skills.
• Proficient in MS Office Suite and other relevant software.
• Discretion and trustworthiness due to the nature of the role.
• Ability to work independently and collaboratively.
NOTE : Female Married Candidates are preferred.

Pay: ?25,000.00 - ?30,000.00 per month
