The Executive Assistant to the Chief Operating Officer (COO) will provide high-level administrative support to the COO, ensuring efficient office operations, effective communication, and streamlined workflow. This role requires a proactive, detail-oriented, and highly organized professional who can anticipate the COO's needs, manage multiple tasks simultaneously, and maintain confidentiality while handling sensitive information.
Key Responsibilities:
• Executive Support:
• Manage the COO's calendar, schedule meetings, and arrange appointments, ensuring optimal time management and prioritization of responsibilities.
• Organize and prepare materials for meetings, presentations, and reports.
• Coordinate travel arrangements, including flights, accommodations, and itineraries.
• Act as the first point of contact for the COO's office, handling phone calls, emails, and other inquiries professionally and promptly.
• Prepare and edit correspondence, reports, and other documents as needed.
• Communication & Coordination:
• Liaise between the COO and internal teams, ensuring clear communication and timely follow-ups.
• Assist in preparing and disseminating internal communications and reports to departments.
• Draft, proofread, and edit communication materials on behalf of the COO.
• Coordinate cross-functional initiatives and meetings, tracking progress and ensuring completion of action items.
• Project Management:
• Assist in tracking and managing ongoing projects, deadlines, and deliverables across departments.
• Help coordinate departmental initiatives and ensure timely execution of operational tasks.
• Support the COO in strategic planning activities, ensuring alignment with company goals and objectives.
• Operational Support:
• Assist in preparing budgets, expenses, and invoices related to the COO's office.
• Maintain filing systems, databases, and other records for the COO's office, ensuring confidentiality and organization.
• Support HR functions related to the COO's team, including scheduling interviews and onboarding new hires.
• Confidentiality & Discretion:
• Handle confidential information with discretion, including sensitive business and personal matters.
• Maintain a high level of integrity and professionalism when interacting with senior management, external stakeholders, and employees.
