Company profile: https://www.gjc.org.in : As an Executive Assistant, you will be responsible for providing high-level administrative support to executives within the organization. Your role will involve managing schedules, coordinating meetings and events, handling correspondence, and performing various tasks to ensure the smooth functioning of the executive\'s office. You will serve as a primary point of contact between the executive and internal/external stakeholders, exercising discretion and professionalism in all interactions. Key Responsibilities: 1. Calendar Management:
Efficiently manage the executive\'s schedule, including scheduling
meetings, appointments, and travel arrangements.
Coordinate with other team members and departments to ensure
alignment of schedules and priorities. 2. Communication:
Handle incoming calls, emails, and other correspondence, prioritizing
and responding appropriately.
Draft and prepare documents, presentations, and reports on behalf of
the executive. 3. Meeting Coordination:
Organize and schedule meetings, both internal and external, ensuring
all necessary arrangements are made.
Prepare agendas, take meeting minutes, and follow up on action items
as required. 4. Travel Arrangements:
Arrange travel accommodations, including flights, hotels, and
transportation, for the executive and other team members as necessary.
Prepare travel itineraries and ensure all travel-related logistics are in
place. 5. Administrative Support:
Perform general administrative tasks such as filing, data entry, and
expense management.
Handle confidential information with discretion and maintain strict
confidentiality at all times. 6. Relationship Management:
Build and maintain positive relationships with internal and external
stakeholders.
Serve as a liaison between the executive and various departments,
ensuring effective communication and collaboration. 7. Special Projects:
Assist with special projects and initiatives as assigned by the executive,
providing research, analysis, and administrative support as needed. Qualifications:
Proven experience as an executive assistant or similar role, preferably
supporting C-level executives.
Excellent organizational and time management skills, with the ability to
prioritize tasks and meet deadlines.
Strong communication skills, both written and verbal, with a professional and
courteous demeanor.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and
other relevant software.
Discretion and confidentiality in handling sensitive information.
Ability to work independently with minimal supervision and as part of a team.
Flexibility to adapt to changing priorities and work in a fast-paced
environment.
Bachelor\'s degree or equivalent experience preferred.
