Job Description

Position Overview:

The Executive Assistant to the Managing Director / CEO plays a pivotal role in supporting the executive's strategic objectives. This position involves managing the MD's / CEO's schedule, preparing and analyzing reports, and making suggestions for process improvements. The ideal candidate will be highly organized, proactive, and possess strong analytical skills to enhance the productivity of the sales and marketing departments.

Key Responsibilities:

1. Administrative Support:

- Manage the Managing Director's / CEO's calendar, scheduling meetings, appointments, and travel arrangements.

- Prepare and edit executive correspondence, reports, presentations, and other documents to ensure clarity and professionalism.

- Act as a liaison between the Managing Director / CEO and internal teams, clients, and stakeholders.

2. Report Preparation & Analysis:

- Compile, prepare, and distribute weekly/monthly reports, summarizing sales performance, marketing initiatives, and other key metrics.

- Analyze data from various sources to identify trends, insights, and opportunities for improvement.

- Develop and maintain Management Information System (MIS) reports that provide actionable insights for the sales and marketing teams.

3. Process Improvement:

- Collaborate with team members to implement best practices and improvements based on report findings.

4. Project Coordination:

- Assist in coordinating and executing various sales and marketing projects, ensuring alignment with strategic goals.

- Track project progress, follow up on deadlines and deliverables, and communicate updates to the Managing Director / CEO.

5. Meeting Coordination:

- Schedule and organize meetings, preparing agendas, and taking detailed minutes; ensure timely dissemination of notes and tracking of action items.

- Facilitate the preparation of materials and presentations for key meetings and decision-making sessions.

6. Miscellaneous Responsibilities:

- Maintain an organized filing system for all documents, reports, and correspondence related to the sales and marketing departments.

- Conduct research and compile information on industry trends, competitors, and market developments to support strategic planning.

- Undertake special projects and additional tasks as assigned by the Managing Director / CEO.

Requirements:

- MBA in marketing & Bachelor's degree in Chemical Engineering, or a related field is preferred.

- Minimum experience of 4-5 years in Sales & Marketing.

- Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word) and experience with Tally, CRM and other reporting tools.

- Strong analytical skills, with the ability to translate data into actionable insights.

- Excellent written and verbal communication skills, with attention to detail.

- Exceptional organizational and multitasking abilities, with a proactive approach to problem-solving.

- Ability to maintain confidentiality and manage sensitive information with discretion.

- Strong interpersonal skills, with the capacity to collaborate effectively across departments.

Job Types: Full-time, Permanent

Pay: ?500,000.00 - ?550,000.00 per year
