We are seeking a highly organized and detail-oriented individual to serve as an Assistant to the Chief Executive Officer (CEO). The ideal candidate will provide comprehensive support to the CEO and assist in various tasks crucial for the efficient functioning of the all departments.
Key Responsibilities:
Chase Deliverables:
Actively pursue and track deliverables from individuals both within and outside the organization to ensure timely completion and alignment with the CEO's objectives.
Calendar Management:
Manage the CEO's calendar efficiently, scheduling appointments, meetings, and ensuring that the CEO is well-prepared and informed about upcoming commitments.
Draft Meeting Minutes:
Attend meetings alongside the CEO and accurately draft meeting minutes, capturing key discussions, decisions, and action items for distribution to relevant stakeholders.
Meeting Preparation:
Collaborate with various stakeholders to gather and organize necessary documents, data, and presentations for meetings attended or led by the CEO, ensuring seamless presentation and discussion flow.
Assist in Report Preparation:
Support the CEO in preparing regularly scheduled reports by collecting, analyzing, and formatting data, as well as ensuring accuracy and adherence to established deadlines.
Document Repository Management:
Maintain an organized and accessible document repository, ensuring that critical files, reports, and financial documents are securely stored and easily retrievable as needed.
Travel Arrangements:
Facilitate travel arrangements, including flights, accommodations, and ground transportation, for the management team, ensuring cost-effectiveness and adherence to travel policies.
Data Entry:
Assist in data entry tasks, maintaining accuracy and confidentiality while inputting financial, operational, and administrative information into relevant systems or spreadsheets.
Qualifications:
Bachelor's degree or Masters degree in Mechanical field
Proven experience in an administrative or assistant role, preferably supporting executive-level management.
Experience in working as secretary will be plus
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
Strong organizational skills with the ability to prioritize tasks and manage time effectively in a fast-paced environment.
Excellent communication skills, both verbal and written, with the ability to interact professionally with internal and external stakeholders.
Attention to detail and a high level of accuracy in all tasks performed.
Discretion and ability to handle confidential information with sensitivity.
Exposure in manufacturing industry is a plus
