We are seeking a dynamic, proactive, and highly organized Executive Administrative Assistant to support the Managing Director of a multi-venture company specializing in Electric Vehicle (EV) and Battery Manufacturing industries. This role is ideal for a street-smart professional with hands-on experience in executive assistance, team coordination, and HR administration. The successful candidate will manage day-to-day tasks, coordinate across various business departments, and assist in operational and strategic activities. Travel may be required based on business needs.
Key Responsibilities:
• Executive Support:
• Provide high-level administrative support to the MD, including scheduling meetings, managing calendars, preparing reports, and handling correspondence.
• Act as a point of contact between the MD and internal/external stakeholders, maintaining professionalism and confidentiality.
• Organize and prioritize daily tasks to ensure efficient time management for the MD.
• Team Coordination & Project Assistance:
• Support the MD in managing and coordinating cross-functional teams across departments, ensuring smooth communication and efficient execution of tasks.
• Monitor project timelines, gather updates, and maintain task-tracking systems to support the MD in keeping projects on schedule.
• Handle logistics and preparations for internal and external meetings, including preparation of presentation materials, minutes, and follow-up.
• Travel & Event Management:
• Plan and coordinate travel arrangements for the MD, including accommodation, transportation, and itineraries.
• Organize corporate events, meetings, and other functions as required, ensuring they are well-executed and in line with company objectives.
• HR Support:
• Assist with basic HR duties, such as onboarding new employees, maintaining personnel records, and facilitating inter-departmental communications.
• Support employee engagement initiatives, ensuring a cohesive and motivated work environment.
• Collaborate with HR and department heads to address staff needs, promote a positive culture, and enhance productivity.
• Administrative Excellence:
• Maintain organized records, databases, and filing systems for company documentation and MD-specific files.
• Monitor and procure office supplies as needed, and ensure office operations run smoothly.
• Anticipate the MD's needs and proactively bring together resources to support strategic initiatives.
• Other Ad-Hoc Duties:
• Undertake special assignments as needed by the MD, including conducting research, preparing reports, or assisting with investor presentations.
• Adapt to evolving priorities within the company's rapidly growing EV and Battery Manufacturing sectors.
Qualifications and Experience:
• Bachelor's degree in Business Administration, Human Resources, or a related field.
• Minimum of 2-3 years of experience as an Executive Assistant, Administrative Assistant, or in an HR Generalist role.
• Prior experience in managing duties across departments in fast-paced environments; experience in EV or manufacturing industries is a plus.
• Strong interpersonal skills, including excellent verbal and written communication in English and Hindi.
