Job Overview :
We are looking for a highly organized, proactive, and detail-oriented Executive Assistant to support the CEO of [Company Name]. The ideal candidate will be a strong communicator, skilled at multitasking, and able to manage various executive tasks and priorities. As the Executive Assistant to the CEO, you will play a critical role in ensuring smooth operations, effective time management, and the overall success of the CEO's daily activities.
Key Responsibilities :
• Calendar Management : Manage the CEO's calendar by scheduling meetings, appointments, and events while ensuring optimal use of time. Prioritize and resolve any conflicts or scheduling issues.
• Communication : Act as the primary point of contact between the CEO and internal/external stakeholders, ensuring timely and clear communication.
• Meeting Preparation & Support : Prepare agendas, materials, and reports for meetings. Attend meetings when necessary and take notes/minutes, ensuring follow-up on action items.
• Travel Coordination : Arrange business travel, including flights, accommodations, transportation, and itineraries, ensuring all logistics are organized in advance.
• Document Management : Draft, proofread, and edit correspondence, reports, presentations, and other documents as required. Maintain confidentiality and handle sensitive information with discretion.
• Project Management : Support CEO in managing key projects, tracking progress, deadlines, and deliverables. Assist in coordinating resources and ensuring that projects are completed on time.
• Event Planning : Organize and coordinate company events, conferences, and meetings, ensuring smooth execution and high standards of service.
• Research & Data Analysis : Conduct research on various topics, providing insights, reports, and recommendations to support decision-making processes.
• Administrative Support : Assist with day-to-day administrative tasks such as office organization, ordering supplies, and general office management to ensure the CEO's office runs efficiently.
• Confidentiality & Professionalism : Maintain the highest level of professionalism and confidentiality, representing the CEO and the company with integrity at all times.
Key Qualifications :
• Experience : 1+ years of experience as an Executive Assistant, Personal Assistant, or similar role supporting senior executives, preferably in a fast-paced environment.
• Education : Bachelor's degree in Business Administration, Management, Communications, or a related field (preferred).
• Skills :
• Exceptional organizational and time-management skills.
• Strong communication (both verbal and written) and interpersonal skills.
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other productivity tools.
• Ability to handle multiple tasks with minimal supervision, exercising discretion and judgment.
• Excellent problem-solving and decision-making abilities.
• Strong attention to detail and accuracy.

Additional Information :
