Job Summary:

The Executive Assistant to the CEO will provide high-level administrative support to the Chief Executive Officer. This role requires a proactive, highly organized individual who can anticipate the needs of the CEO and ensure the smooth operation of the executive office.

Key Responsibilities:

• Administrative Support:
• Manage and maintain the CEO's calendar, including scheduling meetings, appointments, and travel arrangements.
• Prepare and edit correspondence, reports, presentations, and other documents.
• Handle confidential information with discretion.
• Meeting Coordination:
• Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
• Facilitate communication between the CEO and internal/external stakeholders.
• Project Management:
• Assist the CEO in managing and prioritizing multiple projects.
• Conduct research, compile data, and prepare reports for consideration and presentation by the CEO.
• Travel Arrangements:
• Plan and coordinate complex travel itineraries, including booking flights, accommodations, and transportation.
• Prepare detailed travel itineraries and provide support during travel as needed.
• Communication:
• Serve as the primary point of contact between the CEO and internal/external stakeholders.
• Screen and prioritize incoming communications, including emails and phone calls.
• Office Management:
• Oversee the maintenance of the executive office and ensure it is well-organized.
• Coordinate with other departments to facilitate office operations and procedures.
• Event Planning:
• Assist in planning and coordinating company events, meetings, and conferences attended by the CEO.
• Manage event logistics, including venue selection, catering, and transportation.

Qualifications:

• Bachelor's degree in Business Administration or a related field.
• Minimum of 3-5 years of experience in an executive assistant role, preferably supporting C-level executives.
• Excellent organizational and time-management skills.
• Strong written and verbal communication skills.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Ability to handle multiple tasks and prioritize effectively.
• High level of professionalism and discretion.
• Strong problem-solving skills and attention to detail.
• Ability to work independently and as part of a team.

Preferred Skills:

• Experience in a corporate environment.
• Familiarity with office management systems and procedures.
• Knowledge of project management principles.
