We are seeking a highly organized and proactive Executive Assistant to support our CEO and Leadership team in Mohali, Punjab. The ideal candidate will have a proven track record in administrative support and possess excellent communication and multitasking skills.
Responsibilities:
• Manage CEO's schedule and calendar, including appointments, meetings, and personal commitments, to ensure efficient use of time.
• Coordinate and arrange meetings and events, handling logistics such as preparing agendas, booking venues, and managing details.
• Handle communication on behalf of the CEO by screening emails, phone calls, and other correspondence, and drafting professional replies.
• Organize travel arrangements and itineraries, including booking flights, accommodations, and transportation, and preparing detailed plans for trips.
• Conduct research and prepare reports, presentations, and briefings as needed for the CEO and senior leadership team.
• Create and design presentations for various audiences, such as investors, boards, and partners.
• Provide high-level confidential administrative support, handling sensitive information discreetly and efficiently.
• Screen and professionally compose replies to the CEO's emails, ensuring clear and appropriate communication.
• Prepare the CEO's monthly expense summary, documenting and reviewing personal and business-related expenses.
• Liaise with the leadership team on behalf of the CEO, facilitating communication and collaboration between executives.
• Interact with global clients, representing the CEO and the company with professionalism.
• Manage the CEO's memberships and subscriptions, overseeing renewals and payments.
• Maintain employee's files and assist with employee onboarding and offboarding processes.
• Handle personal tasks for the CEO as required, supporting their overall efficiency and effectiveness.
Candidate requirements:
• 3+ years of experience in an similar/administrative role reporting directly to upper management
• Excellent written and verbal communication skills
• Strong time-management skills and an ability to organize and coordinate multiple concurrent projects
• Proficiency with google workspace and an aptitude for learning new software and systems
• Flexible team player, willing to adapt to changes and unafraid of challenges
• Ability to maintain confidentiality of information related to the company and its employees
