Position Summary:
The Executive Assistant to the CEO is responsible for providing comprehensive support to the CEO, including managing schedules, coordinating meetings, handling communications, and performing various administrative tasks. This role requires a high level of professionalism, discretion, and the ability to handle multiple tasks in a fast-paced environment.
Key Responsibilities:
Administrative Support:
• Manage and maintain the CEO's calendar, including scheduling appointments, meetings, and travel arrangements.
• Screen and prioritize emails, phone calls, and other communications, ensuring the CEO is informed of important issues.
• Prepare and edit correspondence, presentations, reports, and other documents as needed.
• Organize and maintain confidential files and records.
Meeting Coordination:
• Arrange and coordinate internal and external meetings, including setting agendas, preparing materials, and taking minutes.
• Ensure all meeting logistics are handled, including venue booking, catering, and technical setup.
• Follow up on action items and deliverables from meetings.
Travel Management:
• Plan and book travel arrangements, including flights, accommodations, transportation, and itineraries.
• Prepare travel expense reports and ensure timely reimbursement.
Project Management:
• Assist in the planning and execution of special projects and initiatives as directed by the CEO.
• Conduct research and gather information to support the CEO's decision-making process.
Communication Liaison:
• Serve as the primary point of contact between the CEO and internal/external stakeholders.
• Handle inquiries and requests from board members, executives, clients, and other parties.
• Draft and manage communications on behalf of the CEO.
Office Management:
• Ensure the executive office operates efficiently, maintaining office supplies and equipment.
• Handle personal tasks and errands for the CEO as required.
Qualifications:
Education and Experience:
• Bachelor's degree in business administration, Communications, or a related field.
• Minimum of 5 years of experience in an executive assistant or similar role, preferably supporting C-level executives.
Skills and Abilities:
• Exceptional organizational and time-management skills.
• Strong written and verbal communication skills.
• High level of proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
• Ability to handle sensitive and confidential information with discretion.
• Excellent interpersonal skills and the ability to work effectively with diverse groups.
• Proactive, self-motivated, and able to work independently with minimal supervision.
• Strong problem-solving skills and the ability to think strategically.
Job Type: Full-time
Pay: ?20,000.00 - ?40,000.00 per month
