As the Office Assistant in the Director's Office, you will play a key role in managing the Director's schedule, handling communications, and supporting various projects. Your responsibilities will include drafting emails, organizing and tracking project progress, handling phone calls, and facilitating effective communication within the team. Your ability to manage multiple tasks efficiently and maintain confidentiality will be essential in this role.
Key Responsibilities:
• Email Management: Draft, edit, and send emails on behalf of the Director. Ensure timely and professional responses to internal and external correspondence.
• Project Coordination: Assist in managing and tracking the Director's projects, including setting deadlines, monitoring progress, and coordinating with various departments to ensure project milestones are met.
• Phone Call Handling: Answer and screen phone calls for the Director. Handle inquiries, redirect calls as needed, and take accurate messages.
• Calendar Management: Schedule and coordinate meetings, appointments, and events for the Director. Prepare and distribute meeting agendas and materials as required.
• Communication: Act as a liaison between the Director and internal teams or external contacts. Facilitate effective communication and ensure that relevant information is shared promptly.
• Administrative Support: Perform various administrative tasks such as filing, data entry, and preparing reports. Organize and maintain office records and documents.
• Travel Arrangements: Coordinate travel plans for the Director, including booking flights, accommodations, and transportation. Prepare detailed itineraries and ensure all travel arrangements are in order.
• Confidentiality: Handle sensitive and confidential information with discretion and maintain high standards of confidentiality.
Qualifications:
• Education: High school diploma or equivalent required; Associate's or Bachelor's degree in Business Administration, Communications, or a related field is a plus.
• Experience: Proven experience as an administrative assistant, office assistant, or similar role. Experience supporting senior executives or directors is highly desirable.
• Skills:
• Excellent written and verbal communication skills.
• Strong organizational and time-management abilities.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.
• Ability to handle multiple tasks and prioritize effectively.
