Overview

The Executive Assistant to the CEO is a vital role within the organization, providing top-level administrative support to the Chief Executive Officer. This position is essential for enhancing the efficiency and effectiveness of the CEO in managing daily operations and strategic initiatives. The Executive Assistant will serve as a primary point of contact between the CEO and internal/external stakeholders, ensuring smooth communication and fostering positive relationships. This role involves extensive schedule management, project coordination, and high-level administrative tasks that directly contribute to the organization's success. An ideal candidate is proactive, adaptable, and possesses the ability to manage multiple priorities in a fast-paced environment. The Executive Assistant plays a crucial role in ensuring the CEO's time is optimally utilized, allowing them to focus on strategic decision-making and leadership responsibilities.

Key Responsibilities

• Manage CEO's calendar, including scheduling meetings and appointments.
• Prepare briefing materials for meetings and presentations.
• Coordinate travel arrangements and itineraries for the CEO.
• Serve as a liaison between the CEO and other departments, stakeholders, and external partners.
• Draft, review, and respond to correspondences on behalf of the CEO.
• Handle confidential information with integrity and discretion.
• Assist in the preparation of reports, documents, and proposals.
• Conduct research related to projects, industry trends, and competition.
• Organize and manage special projects and initiatives as assigned by the CEO.
• Monitor and prioritize incoming requests and communications for the CEO.
• Facilitate meetings, including agenda preparation and minute-taking.
• Coordinate logistics for board meetings and leadership events.
• Implement efficient office processes and systems to improve productivity.
• Assist with personal tasks as required by the CEO.
• Perform other administrative duties as assigned.

Required Qualifications

• Bachelor's degree in Business Administration or related field.
• Proven experience as an Executive Assistant or in a similar role.
• Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Excellent written and verbal communication skills.
• Ability to multitask and prioritize in a high-pressure environment.
• Experience in managing complex calendars and travel logistics.
• Demonstrated problem-solving and critical-thinking abilities.
• Understanding of organizational dynamics and strategies.
• Professional demeanor and strong interpersonal skills.
• Proficiency in project management tools and software.
• Capacity for maintaining confidentiality and exercising sensitivity.
• Strong attention to detail and accuracy.
• Ability to adapt to changing priorities and demands.
• Experience in a corporate environment preferred.
• Knowledge of business operations and terminology.
• Certification in administration or project management is a plus.

Job Types: Full-time, Permanent

Pay: ?300,000.00 - ?700,000.00 per year
