Job Overview:

We are seeking a highly organized and proactive Executive Assistant to the CEO. The ideal candidate will provide high-level administrative support to the CEO, ensuring efficient operation and effective communication within the executive office. This role requires exceptional organizational skills, attention to detail, and the ability to handle confidential information with discretion.

Experience: 3-5 years

Location: Sector - 62, Gurgaon

Key Responsibilities:Administrative Support:

• Calendar Management:
• Manage the CEO's calendar, schedule meetings, and coordinate appointments.
• Prioritize and manage multiple tasks and projects to ensure timely completion.
• Travel Coordination:
• Arrange detailed travel plans, itineraries, and agendas for domestic and international trips.
• Handle travel logistics, including transportation, accommodations, and related activities.
• Communication Management:
• Screen and prioritize incoming emails, phone calls, and correspondence.
• Draft, edit, and proofread communications on behalf of the CEO.
• Prepare reports, presentations, and other documents as required.
• Meeting Preparation and Follow-Up:
• Organize and prepare materials for meetings, including agendas, presentations, and minutes.
• Attend meetings, take detailed notes, and ensure follow-up on action items.

Project and Task Management:

• Project Coordination:
• Assist the CEO with special projects and initiatives, ensuring timely completion.
• Coordinate cross-departmental projects and act as a liaison between the CEO and other team members.
• Task Prioritization:
• Manage and prioritize the CEO's task list, ensuring critical items are addressed promptly.
• Track and follow up on outstanding tasks and deliverables.

Relationship Management:

• Stakeholder Interaction:
• Build and maintain relationships with internal and external stakeholders, including board members, clients, and partners.
• Coordinate and facilitate communication between the CEO and stakeholders.
• Event Planning:
• Plan and organize events, conferences, and meetings hosted by the CEO.
• Handle logistics, invitations, and attendee coordination for events.

Information and Data Management:

• Data Analysis and Reporting:
• Collect, analyze, and present data to support decision-making.
• Prepare and distribute regular reports and updates to the CEO and relevant stakeholders.
• Document Management:
• Maintain an organized filing system for important documents and records.
• Ensure the security and confidentiality of sensitive information.

Executive Support:

• Strategic Assistance:
• Assist the CEO in developing and implementing business strategies and initiatives.
• Provide insights and recommendations to support strategic decision-making.
• Personal Assistance:
• Handle personal tasks and errands for the CEO as needed.
• Manage personal appointments and schedules.

Qualifications:

• Bachelor's degree in Business Administration, Communications, or a related field preferred.
• Proven experience as an Executive Assistant or in a similar role supporting senior executives.
• Exceptional organizational and time-management skills.
• Strong written and verbal communication skills.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
• Ability to handle sensitive information with discretion and confidentiality.
• Strong problem-solving and decision-making abilities.

Job Type: Full-time

Pay: ?25,000.00 - ?46,511.60 per month

Schedule:
