Key Responsibilities:
• Administrative Support:
• Manage the CEO's calendar, including scheduling meetings, appointments, and travel arrangements.
• Prepare and edit correspondence, reports, presentations, and other documents.
• Handle incoming communication, screen calls, and prioritize emails and messages.
• Coordinate and manage events, meetings, and conferences, ensuring all logistics are handled smoothly.
• Meeting Coordination:
• Prepare agendas, meeting notes, and follow-up action items.
• Attend meetings as required, take minutes, and ensure timely distribution to relevant stakeholders.
• Track progress on action items and deadlines, keeping the CEO informed of the status.
• Project Management:
• Assist in managing key projects, coordinating with internal teams and external stakeholders.
• Conduct research and provide analytical support for strategic planning and decision-making.
• Monitor project timelines and deliverables, ensuring alignment with company goals.
• Confidentiality and Discretion:
• Handle sensitive and confidential information with the utmost discretion.
• Maintain confidentiality of company information, both internal and external.
• Communication Liaison:
• Act as a point of contact between the CEO, senior management, and other internal/external parties.
• Facilitate effective communication within the executive office and across departments.
• Draft and review communications on behalf of the CEO.
• Travel and Logistics:
• Coordinate complex travel arrangements for the CEO, including flights, accommodation, and transportation.
• Prepare detailed travel itineraries and handle any changes promptly.
• Office Management:
• Manage the executive office, ensuring supplies are maintained and the workspace is organized.
• Assist with administrative tasks related to office operations and facility management.
Qualifications and Skills:
• Bachelor's degree in Business Administration, Management, or a related field preferred.
• 3-5 years of experience as an Executive Assistant, preferably supporting C-level executives.
• Strong organizational and time management skills with the ability to prioritize tasks.
• Excellent written and verbal communication skills.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Ability to work independently, take initiative, and anticipate the needs of the CEO.
• Strong problem-solving skills and attention to detail.
• Professional demeanor with the ability to handle confidential information.
