Role Overview:
As an Executive Assistant, you will play a pivotal role in ensuring the smooth operation of our clinic. Your impeccable organizational skills will be put to use as you manage daily tasks, track progress, and maintain effective communication across the clinic team. From organizing schedules to overseeing deliverables, your contribution will directly impact our clinic's success.
Key Responsibilities:
• Prepare and compile daily reports, highlighting key metrics and accomplishments for management review.
• Monitor and track Key Results Areas (KRAs) to ensure goals and targets are being met efficiently.
• Coordinate and manage clinic deliverables, ensuring timely completion and quality standards.
• Manage and filter clinic email correspondence, responding on behalf of the clinic as appropriate.
• Organize the doctor's schedule, ensuring optimal time management and patient care coordination.
• Take comprehensive and accurate doctor's notes during appointments, maintaining organized records.
• Follow up diligently on tasks assigned to various team members to maintain progress and accountability.
• Act as an enforcer to ensure tasks are completed in a timely manner, addressing any obstacles.
• Handle travel arrangements and coordination for the doctor, including booking flights, accommodations, and logistics.
• Provide administrative support, including document management, filing, and office organization.
Qualifications:
• Previous experience in a personal assistant or administrative role, preferably in a healthcare or wellness setting.
• Exceptional organizational skills and the ability to multitask effectively.
• Strong attention to detail and a commitment to maintaining accurate records.
• Proficiency in communication and coordination, both written and verbal.
• Familiarity with scheduling software and tools for efficient appointment management.
• Enthusiastic problem solver with a proactive approach to addressing challenges.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and task management tools.
• Discretion and confidentiality in handling sensitive information.
• Flexibility to adapt to changing priorities in a dynamic environment.
• Strong interpersonal skills and a collaborative attitude.
