Overview: We are seeking a highly organized and proactive Executive Assistant to support our executive team. The ideal candidate will be responsible for managing calendars, coordinating travel arrangements, handling correspondence, and providing general administrative support to ensure the smooth functioning of the executive office.
Responsibilities:
• Calendar Management: Schedule appointments, meetings, and events for executives. Coordinate effectively to ensure availability and manage conflicts
• Travel Arrangements: Arrange travel itineraries, including flights, accommodations, and transportation, for domestic and international trips. Ensure all travel plans align with executives' schedules and preferences.
• Correspondence Handling: Manage incoming emails, letters, and phone calls. Prioritize communications and draft responses when necessary. Maintain confidentiality and professionalism in all interactions.
• Meeting Coordination: Prepare / provide meeting agendas, materials, and presentations. Take minutes during meetings and distribute them to relevant parties. Follow up on action items to ensure timely completion.
• Administrative Support: Perform general administrative tasks such as filing, copying, and data entry. Assist with the preparation of reports, presentations, and financial documents as needed.
• Relationship Management: Build and maintain positive relationships with internal and external stakeholders, including clients, partners, and vendors. Serve as a liaison between executives and other departments within the organization.
• Project Assistance: Provide support for special projects and initiatives led by the executive team.
• Office Management: Oversee office supplies inventory and order supplies as needed. Coordinate maintenance and repairs for office equipment and facilities. Ensure the executive office is organized and presentable at all times.
Qualifications:
• Excellent organizational and time management skills with the ability to prioritize tasks effectively.
• Strong communication skills, both written and verbal, with attention to detail.
• Proficiency in Microsoft Office Excel and other relevant software applications.
• Discretion and confidentiality when handling sensitive information.
• Ability to work independently with minimal supervision and as part of a team.
• Flexibility to adapt to changing priorities and work in a fast-paced environment.
• Professional demeanour and positive attitude with a commitment to providing exceptional support.
Additional Requirements:
• Availability to work occasional evenings or weekends as needed.
