The Executive Assistant to the Managing Director provides high-level administrative support, ensuring efficient and effective operations of the MD's office. This role involves managing schedules, coordinating meetings, handling correspondence, and performing various administrative tasks to facilitate the MD's ability to lead the organization successfully.
Key Responsibilities:
Administrative Support:
Manage the MD's calendar, schedule appointments, and organize meetings.
Prepare and edit correspondence, communications, presentations, and other documents.
Handle incoming and outgoing communications on behalf of the MD.
Meeting Coordination:
Arrange and coordinate meetings, conferences, and events.
Prepare agendas, take minutes, and follow up on action items.
Ensure meeting materials are prepared and distributed in advance.
Travel Arrangements:
Organize and coordinate travel itineraries, accommodations, and logistics.
Prepare travel expense reports and ensure timely reimbursement.
Office Management:
Maintain office systems, including data management and filing.
Monitor and manage office supplies and equipment.
Project Management:
Assist in the planning and execution of special projects as directed by the MD.
Conduct research, compile data, and prepare reports.
Relationship Management:
Serve as a liaison between the MD and internal/external stakeholders.
Handle confidential information with discretion and professionalism.
Event Planning:
Coordinate and organize company events, meetings, and conferences.
Manage event logistics, including venue selection, catering, and guest lists.
Communication:
Draft, review, and send communications on behalf of the MD.
Ensure timely and effective communication within the organization.
General Support:
Perform general office duties such as ordering supplies, managing records, and maintaining databases.
Assist with personal tasks and errands as needed.
Qualifications:
Education:
Bachelor's degree in Business Administration, Management, or a related field preferred.
Experience:
Proven experience as an Executive Assistant or similar role supporting senior executives.
Experience in project management and event planning is an advantage.
Skills:
Exceptional organizational and time-management skills.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Ability to multitask and prioritize tasks effectively.
