Key Responsibilities:
Executive Support:
Manage the executive's calendar, schedule meetings, appointments, and coordinate travel arrangements.
Act as the point of contact between executives and internal/external stakeholders.
Screen and prioritize communications (calls, emails, etc.), promptly addressing urgent matters.
Documentation and Reports:
Prepare and proofread documents, reports, presentations, and other communications as needed.
Ensure efficient organization and filing of critical documents, both physical and digital.
Travel Coordination:
Coordinate domestic and international travel arrangements, including bookings for flights, accommodation, and ground transportation.
Ensure travel logistics align with the executive's schedule.
Meeting and Event Coordination:
Organize meetings, conferences, and company events, including logistics, agendas, and communication with participants.
Record minutes during meetings and follow up on action items.
Task and Project Management:
Assist in managing projects and tracking progress.
Ensure deadlines are met and projects are executed in alignment with company goals.
Confidentiality and Compliance:
Handle sensitive information with utmost confidentiality and professionalism.
Maintain records in accordance with company policies and legal compliance.
Communication and Liaison:
Respond to inquiries, filter information, and redirect communications to appropriate departments.
Build and maintain professional relationships with internal and external stakeholders.
Miscellaneous:
Handle personal tasks for executives as required, such as personal errands or appointments.
Assist in HR-related tasks, including onboarding new employees or preparing company documents.
Skills Required:
Strong organizational and multitasking abilities.
Excellent verbal and written communication skills.
Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
Strong time management and problem-solving abilities.
Ability to maintain professionalism and confidentiality.
