Job Title : Executive Assistant

Reports To : Chief Digital Officer (CDO)
Experience Required : 3+ years in Executive Assistant or Secretarial Role
Job Summary:
We are seeking an experienced and highly organized Executive Assistant (EA) to provide executive-level support to the Chief Digital Officer (CDO). The EA will manage administrative and secretarial tasks, streamline communication, and assist in the coordination of various projects and initiatives under the CDO's purview. The ideal candidate will be proactive, possess strong organizational skills, and demonstrate excellent attention to detail.
Key Responsibilities:
• Administrative Support :
• Manage the CDO's calendar, schedule meetings, and coordinate appointments.
• Organize and prioritize incoming communications (emails, phone calls, etc.) and take necessary actions on behalf of the CDO.
• Prepare and organize reports, presentations, and meeting agendas.
• Handle travel arrangements and itineraries for the CDO, including co-ordination flights, hotels, and transport.
• Maintain confidential files, documents, and records with discretion.
• Secretarial Duties :
• Attend meetings with the CDO and take detailed minutes, following up on action items.
• Ensure that the CDO is fully prepared for meetings by organizing relevant documents and providing timely briefings.
• Manage incoming and outgoing correspondence on behalf of the CDO, including mail, emails, and phone inquiries.
• Project Coordination :
• Support the CDO with digital transformation and technology projects by scheduling meetings, managing timelines, and tracking progress.
• Liaise with different departments and stakeholders to ensure the timely and efficient execution of digital projects.
• Help manage the CDO's tasks, deliverables, and deadlines, ensuring smooth operations and communication.
• Relationship Management :
• Act as a liaison between the CDO and internal/external stakeholders, including senior executives, team members, and business partners.
• Ensure smooth communication flow within the department and with other teams, both internal and external.
• General Office Management :
• Handle administrative duties such as ordering office supplies, maintaining office equipment, and ensuring that all office operations run smoothly.
• Perform other ad-hoc administrative tasks as required by the CDO.
Qualifications:
• Education : Bachelor's degree or MBA.
• Experience : Minimum of 3 years as an Executive Assistant or in a secretarial role, preferably supporting senior-level executives.
• Skills :
• Strong organizational and time management skills.
• Excellent written and verbal communication.
• Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and other office productivity tools.
• Ability to handle confidential and sensitive information with discretion.
• Strong attention to detail and ability to work under pressure.
• Strong interpersonal skills and ability to manage relationships with multiple stakeholders.

Working Conditions:
