Branding Pioneers, a leading marketing agency with a strong focus in the healthcare sector, is seeking a highly organized and dynamic Executive Assistant. This role involves directly supporting our founders, handling a wide range of administrative and executive tasks, and playing a critical role in the efficiency of our organization.
Key Responsibilities:
Calendar Management:
Manage and organize founders' calendars, including scheduling meetings, sales calls, and aligning appointments effectively to optimize their schedules.
Communication Management:
Handle incoming calls and correspondence directed to the founders, ensuring all communications are noted and responded to in a timely manner.
Document and Presentation Preparation:
Assist in formatting documents, creating presentations, and preparing comprehensive reports using various tools including ChatGPT for efficient content creation.
Email Management:
Manage email correspondence, ensuring that all incoming emails are addressed appropriately and that outgoing communications are professional and timely.
Meeting Coordination:
Coordinate both internal and external meetings, ensuring all participants are well-informed of the agenda and logistics.
Travel and Booking Arrangements:
Organize travel and accommodations for the founders, ensuring all itineraries are well-planned and executed smoothly.
Employee Communication:
Send emails and company communications on behalf of the founders, maintaining clarity and effective communication across the organization.
Attendance and Reporting:
Keep track of daily team attendance and provide reports on employee absences and updates to keep the founders informed.
Onboarding Support:
Facilitate the onboarding process for new employees, introducing them to essential company processes and systems.
Confidential Account Handling:
Manage sensitive and confidential matters related to the business and personal affairs of the founders, including handling accounts and financial information.
Escalation Handling:
At times, handle client escalations, providing immediate support and resolutions, and maintaining high levels of client satisfaction.
Required Skills and Qualifications:
Proven experience as an Executive Assistant or similar role.
Experience in a marketing agency or healthcare environment is strongly preferred.
Excellent organizational and time management skills.
Strong communication and interpersonal skills.
Proficiency in Microsoft Office, Google Workspace, and the ability to quickly adapt to new technologies.
Ability to handle confidential information with discretion.
Detail-oriented and comfortable working in a fast-paced office environment.
Dedicated and capable of acting as the right arm to high-level executives.
Education:
Bachelor's degree in Business Administration, Communications, or relevant field preferred.
